How the Udangudi Port Visitor Management System collects, uses and protects your information.

What we collect

Registration details you provide: name, mobile number, email, purpose of visit, company/employer, and vehicle number if applicable.
A masked identity check at the gate: document type and the last 4 digits of your ID only — full ID numbers, images or scans of Aadhaar/Passport/Driving Licence/Voter ID are never captured or stored.
A photo taken at registration (visitors) or at shift check-in (gate staff), used only to match the person against their pass or duty record.
Gate activity: check-in/check-out timestamps, gate and zone accessed, and the officer who processed the scan.
Account activity for staff logins: sign-in/sign-out events, IP address and browser/device information, kept for security auditing.

To verify identity and issue a valid gate pass restricted to the port zones you were approved for.
To enforce port security policy: blacklist screening, vehicle watchlist checks, and zone-based access control.
To maintain an auditable record of who entered, exited, or was denied entry, and by whom actions were taken.
To detect and investigate misuse of staff accounts (repeated failed logins, unusual access patterns).

Visitor and pass records are retained for the statutory period required for port security compliance, then archived or purged per department policy.
Audit and gate logs are retained for security review and are not used for any purpose beyond port operations.

Only authorized port staff — security officers, the PFSO/Dy.PFSO, hosts you are visiting, and system administrators — can view records relevant to their role.
Data is never sold, shared with advertisers, or used for marketing.
